GENERAL DATA PROTECTION REGULATIONS 2018

In accordance with the General Data Protection Regulations 2018, we are required to hold personal data we collect from you to provide you with our service.
We collect personal information from all new parents/ guardians/students when you register with us to attend classes. The collection of this data is done using encrypted and secure online forms.

All personal data is processed fairly and lawfully and collected for specified, explicit and legitimate purposes. Individual data is only processed with your explicit consent.

LoveBallet Dance Company is committed to protecting the rights and freedoms of individuals concerning the processing of data for children, parents, visitors and staff.

How LoveBallet Dance Company handles your data:

• We do not disclose or sell personal data to third parties.
• We do not disclose personal data to other members of the Dance School.
• The data we collect from you is used solely to provide you with our service and to communicate with you about our classes, timetables, invoices, examinations and shows.
• All personal data is safely stored on encrypted online databases and servers which are fully GDPR compliant and secure.
• We share necessary data with selected data processors whose software we use to help us provide you with our service. Each processor uses the latest online security and encryption software and is fully GDPR compliant.
• Access to LoveBallet Dance Company’s email accounts, website, social media accounts and third party processor accounts are password protected and use the latest encryption software.
• The Principal and Data Protection Officer have sole access to all data.
• The name of each pupil and emergency contact phone numbers are shared with each teacher termly for the sole use of class attendance and emergency contact only.

Information about students is used for weekly class attendance, to notify teachers of any medical conditions and for entry of examinations.

Data Shared for Examinations

When a student enters an examination, his/her full name, gender and date of birth is submitted in electronic format using secure file transfer systems to register the student with the Dance Examination Board.

Visual Data

LoveBallet Dance Company store personal data visually in the form of photographs, video clips and sound recordings. We do not store any names with any visual data.

GDPR and the 7 Rights for Individuals

The Right to be Informed

On registration with our dance school you give us signed consent to hold the following information about you and your child:
Parent / Guardian full name, Student’s full name, Student’s date of birth, Contact address, Contact phone number, Student medical conditions and contact email address.

LoveBallet Dance Company is a registered dance school with BBODance. Pupil information is shared with BBODance solely to enter pupils into examinations. Please see the section ‘Data Shared for Examinations’.

The full names, addresses and class details of our pupils are stored securely and safely on Dancebiz, an online class management software and Active Campaign, a customer relationship management software. Access to both online databases is password protected and GDPR compliant.

LoveBallet Dance Company use Go Cardless for its payment processing. Go Cardless is the leading UK based direct debit processor and store your data safely and securely using the latest encryption technology. They are fully GDPR compliant.

As an employer of self-employed practitioners, LoveBallet Dance Company is required to hold data on its teachers, such as names, addresses, email addresses, telephone numbers and bank details. In addition to this personal data, we also hold information on each teacher such as Disclosure and Barring Service Checks (DBS), Personal Public Liability Insurance, First Aid Certificates and Dance Qualifications. These details are stored securely on Dancebiz, an online electronic class management software.

The Right of Access

Should you wish to access your personal data at any time, you can do so by emailing mydata@loveballet.co.uk, and we will safely share this with you. Personal Data will be submitted via email to the individual in the form of a CSV file. Alternatively, you can access your data securely in your membership section of our website, where you can also update this to keep it current and correct.

The Right of Erasure

You have the right to request the deletion of your data where there is no compelling reason for its continued use.
LoveBallet Dance Company hold your personal data while you or your child are a student of the school. We only retain data we need to provide you with our service.

Following an email notification to leave the school, you may request that LoveBallet Dance Company delete your data. On receiving an email request to this effect, we will remove your data within one calendar month of your request.

Right to Restrict Processing

LoveBallet Dance Company use Active Campaign as its email software to communicate with its users. Members of the dance school have the right to select whether they receive emails from LoveBallet Dance Company. An online form provides members with the opportunity to actively consent whether they wish to receive communication from LoveBallet Dance Company. Please note that should you prefer not to receive communications related to the dance school, LoveBallet Dance Company has no obligation to refund any classes missed due to a lack of communication. It will be the parent's responsibility to ensure they are informed about the events at the school.

Right to Data Portability

You have the right to move, copy or transfer your data from our IT systems to another in a safe and secure way. If you wish to do this please contact us by emailing mydata@loveballet.co.uk and we will safely send your data to you within 30 days of the email request. Personal Data will be submitted via email to the individual in the form of a CSV file.

Right to Object

Parents, visitors and staff can object to their data used for specific activities like marketing or research. When LoveBallet Dance Company sends email notifications to its students about marketing its services, we always provide an unsubscribe option in the communication to allow you to remove your data for this specific purpose.

Rights related to Automated Decision Making including Profiling

Automated decision making and profiling are for marketing based organisations. LoveBallet Dance Company does not use personal data for such purposes.
